What personal data we collect and why we collect it
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Contact forms
We keep contact form submissions for a certain period for customer service purposes, but we do not use the information submitted through them for marketing purposes.
Subscription by email
Permaculture Australia offers various ways for members of the public to submit their name and email address in order to request communications by email. These will be used solely for this purpose through a marketing automation platform and an email marketing service. Emails sent directly may also occur from time to time.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. Who we share your data with
Permaculture Australia membership contact information is shared with Pip magazine so that members receive their copy of the magazine.
Contact information may also be shared with one or more marketing automation platform and an email marketing services to facilitate communications such as an eNewsletter or other notice applicable to members or potential members. Members have the option to opt out of these communications by using the link provided in each communication.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data
We will not rent or sell potentially personally-identifying and personally-identifying information to anyone. Other than to its employees, contractors and affiliated organizations, Permaculture Australia discloses potentially personally-identifying and personally-identifying information only in response to a subpoena, court order or other governmental request, or when we believe in good faith that disclosure is reasonably necessary to protect the property or rights of Permaculture Australia, third parties or the public at large.
Payment processors receive your IP address and the information you supply them during making a purchase.
We always use high strength passwords for Administrator accounts on WordPress, web hosting, payment processor, email, and any other I.T. service we use. Staff are trained in what constitutes a high strength password and how to protect these I.T. accounts and in relation to data protection. Anti-virus software is installed and kept up to date on personal computers. Firewalls are also always used.
We follow generally accepted standards to protect the personal data submitted to us, both during transmission and once it is received. We have put in place reasonable measures and appropriate procedures for implementing these policies and for safeguarding the personal data we collect. However, we cannot guarantee that personal data we collect will never be disclosed in a manner inconsistent with this Privacy Policy.
What data breach procedures we have in place
A data breach occurs when personal information that an entity holds is subject to unauthorised access or disclosure, or is lost.
The actions taken following a data breach will follow four key steps:

Events Manager
Events Manager uses Google services to generate maps and provide autocompletion when searching for events by location, which may collect data via your browser in accordance to Google’s privacy policy.
We collect and store information you submit to us about events (and corresponding locations) you would like to publish on our site.
We may use cookies to temporarily store information about any error/confirmation messages whilst submitting or managing your events and locations.
Akismet
We collect information about visitors who comment on Sites that use our Akismet anti-spam service. The information we collect depends on how the User sets up Akismet for the Site, but typically includes the commenter’s IP address, user agent, referrer, and Site URL (along with other information directly provided by the commenter such as their name, username, email address, and the comment itself).
Forms
Forms allows PA to collect personal information. The information submitted through a form by a user is kept for a certain period for customer service purposes, but we do not use the information submitted for marketing purposes.

Although most changes are likely to be minor, Permaculture Australia may change its Privacy Policy from time to time, and at Permaculture Australia’s sole discretion.
